Privacy Policy

This policy explains how BookMyTrainer ("we", "us") collects, uses and protects your personal data, and your rights under the UK GDPR and EU GDPR. BookMyTrainer is available on the App Store and at app.bookmytrainer.ai.

1. What we collect

• Account data — name, email address and (if you use it) mobile number, and your role (trainer or client).
• Trainer data — public profile details you choose to publish (headline, city, specialties, bio, rates).
• Training data — clients, sessions, packages, payments you record, and messages between trainers and clients.
• Reviews — ratings and review text clients leave for trainers.
• Learning records — where a trainer or teacher tracks progress, the skills they assess, the scores they record after each session, and their session notes.
• Session media — photos and video a teacher attaches to a session, where the client (or their parent or guardian) has given permission. See section 9.
• Technical data — essential cookies/local storage used to keep you signed in.

2. Legal basis

We process your data to perform our contract with you (providing the service), on the basis of your consent (e.g. publishing a public profile), and for our legitimate interests in operating and securing the platform.

3. How we use it

• To provide the trainer dashboard and client portal.
• To let trainers manage clients and clients view their plan, book and message.
• To publish trainer profiles and reviews in our public directory (only when a trainer chooses to publish).
• To keep the service secure and prevent abuse.

4. Sharing

We do not sell your data. Published trainer profiles and reviews are publicly visible by design. We use trusted infrastructure providers (Google Firebase for authentication and database, Cloudflare for hosting) who process data on our behalf under data-processing terms.

5. International transfers

Our providers may process data outside your country. Where they do, appropriate safeguards (such as Standard Contractual Clauses) apply.

6. Retention

We keep your data while your account is active. When you delete your account, we delete your personal data from our systems. Some records may be retained where required by law.

7. Your rights

Under the GDPR you have the right to:

• Access — get a copy of your data (in the app: Settings → Export my data).
• Rectification — correct inaccurate data.
• Erasure — delete your account and data (in the app: Settings → Delete my account).
• Portability — receive your data in a machine-readable format (JSON export).
• Object / restrict — object to or restrict certain processing.
• Withdraw consent — e.g. unpublish your public profile at any time.

To exercise any right, use the in-app tools or email [email protected]. You also have the right to complain to your data protection authority (in the UK, the ICO).

8. Cookies

We use only essential cookies and local storage needed to sign you in and remember basic preferences. We do not use advertising or third-party tracking cookies.

9. Children, and photos or video of them

BookMyTrainer is used by tutors and coaches who teach children. A child never holds their own account. Where a student is under 16, the account belongs to a parent or guardian, who creates it, controls it and can delete it at any time. We do not knowingly allow anyone under 16 to register directly.

A teacher can attach photos or short video of a session so the parent can see what their child did. This only happens under the following conditions, which are enforced by the service and not merely stated here:

• Permission first. No photo or video can be stored until the parent or guardian has turned the setting on in their own account. Until they do, uploads are refused.
• Private by default. Session media is never public and never indexed. It can be viewed only by the teacher who uploaded it and the parent or guardian who consented. Links are not shareable: every view is checked against the signed-in account.
• Withdrawable, with deletion. Turning the setting off permanently deletes the photos and video already collected. It does not merely hide them.
• Not used for anything else. We do not use session media to train models, for advertising, or for any purpose other than showing it to that parent or guardian.

Progress scores and session notes are likewise visible only to the teacher and the linked parent or guardian. Notes a teacher marks as private are never shown to anyone else.

To access, export or delete any data we hold about a child, contact [email protected] or use the deletion tools in the app.

10. Changes

We may update this policy and will revise the date above. Material changes will be highlighted in the app.
